Sensitive documents, such as payslips, P45s, and P60s, are all password protected to protect employee privacy. The passwords are set automatically.
Employee payslip passwords
The password for payslips is the last 4 characters of an Employee's NI number (including the letter in upper case).
For example, a National Insurance number of AB123456B would mean a password of 456B.
If an Employee does not have a National Insurance number in UK Payroll at the time their payslip is generated, when payroll is paid their password will be their DOB in the following format: DDMMYY.
P45 and P60 passwords
The Password for P45s and P60s is the last 4 characters of an Employee's NI number (including the letter in upper case).
For example, a National Insurance number of AB123456B would mean a password of 456B.
If an Employee does not have a National Insurance number in Pento at the time their P45 or P60 is generated, their password will be their DOB in the following format: DDMMYY.
Note: For P45s generated before 27 May 2022 where the employee didn’t have a National Insurance number in UK Payroll, the password format will remain DDMMYY. If the employee did hold a National Insurance number in UK Payroll, the P45 password will be the last four characters of the National Insurance number.
