If an employee is terminated, they receive a P45 and are reported to HMRC as a leaver. Therefore, if they later return to your employment, you will need to add them to the payroll as a new starter.
Before you begin
Before adding the re-hire as a new starter, you must change the email address on their terminated record to a placeholder/dummy email address as UK Payroll requires each employee to have a unique email address.
- Select Employees from the left sidebar.
- Click on Terminated at the top of the page.
- Select the relevant employee.
- In the General tab, update the email address to a dummy address, e.g. “name@example.com.”
- Click Save changes.
You can now add the re-joiner as a new starter.
How to add a re-joiner as a new starter
Note: You will have to allocate a previously unused Employee ID when adding a re-joiner as a new starter.

How to add re-joiners in HRIS integrations
If UK Payroll is integrated with your HRIS, you will need to create a new record for them in your HR software.
Note: If you decide to mark the re-joiner as an employee who has continuously served, you will still need to create a new record. However, you can note the original start date.
- Change the email address in the employee’s previous record to a dummy address, e.g. “name@example.com.”
- Follow your HRIS process for adding new starters. Their information will sync to UK Payroll based on their Employee ID.
Note: You will have to allocate a previously unused Employee ID when adding a re-joiner as a new starter.
