If you operate multiple pay frequencies (e.g. Monthly, Fortnightly, or Weekly), you can add multiple pay schedules to your UK Payroll account. You can also add different pay schedules of the same frequency (e.g. two Monthly schedules with different paydays and settings).
Note: Different pay schedules of the same frequency must have different pay dates.
Before you begin
If you choose a Monthly pay frequency, you need to choose a Day rate method.
If the day rate is set to Calendar month, UK Payroll will divide the monthly salary by the working days in the month the employee joined, then multiply it by the working days from the start date you entered to the last working day of that month.
If the day rate is set to Yearly working days, UK Payroll will divide the annual salary by the yearly working days (usually 260 days), then multiply it by the working days from the start date you entered to the last working day of that month.
How to add a pay schedule
- From the left side bar, navigate to Settings.
- Under the Payroll header, select Pay schedules.
- Click + New schedule.
- Select the Pay frequency (Monthly, Fortnightly, or Weekly) from the drop down menu.
- If Monthly, add the Schedule name, Pay day, Payroll period start day, Day rate method, and Pay Period (Optional). If Fortnightly or Weekly, add the Schedule name, Start date, Pay day, and Pay Period (Optional).
- Click Save and close.
How to view and edit a pay schedule
- From the left side bar, navigate to Settings.
- Under the Payroll header, select Pay schedules.
- Click on the pay schedule you’d like to view or edit.
- Once you have made any changes, click Save and close.
How to add a pay schedule to an employee
Note: If you need to change the pay schedule of an existing employee, please contact Support.
Once you have added a new hire, add a pay schedule to their profile so their pay can be processed.
- From the left side bar, select Employees.
- Select the relevant employee.
- Select the Compensation tab.
- Click Get started.
- Select the correct Pay schedule from the drop down menu.
- Enter the employee’s start date.
- Click Save and close.
FAQs
Can I amend automated pro-rata calculations?
No. If you use the Yearly working days method, you may deduct days not worked rather than pay the days worked in shorter months. UK Payroll can only calculate the days worked, so you’ll need to add a manual gross addition if you’d like to pay more. Likewise, in longer months the automatic calculation may result an employee receiving more than their ordinary salary. You will need to add a manual gross deduction to adjust for the difference.
