If you use Xero for your payroll journals, Pento offers an easy to use integration where your payroll journal will be automatically posted to Xero each month.
Connecting to Xero
To connect Pento to Xero, please follow the steps below:
- Navigate to Settings from the left sidebar
- Under the Integrations heading, select Overview
- You will see an icon for Xero, select Integrate
- Once you have selected Integrate, a pop up should appear directing you to Xero's login screen
- Enter your Xero login credentials, and select Log in
- Select Allow Access
Once you have selected Allow Access, you should be fully connected with Xero.
Tip – If you are already logged into Xero, it should authenticate automatically. If you are not logged into Xero, you will be prompted to enter your credentials
Mapping your chart of accounts
Once connected, you should be directed to the Integration settings screen.
Please note – Pento automatically retrieves your chart of accounts from Xero, and maps them to each payroll item in Pento for you.
You will see mapping fields similar to the below screenshot. The fields on the left represent the fields on Pento, whilst the dropdown fields on the right represent the accounts on Xero.
You can also choose to split the accounts by department where you can map each department to separate accounts in Xero, just toggle on Split by organisational structure and map each structure to the account you require.
- Click Save settings
Amending settings
To view/amend your settings and/or mapping, you will need to follow the steps below:
- Navigate to Settings from the left sidebar
- Under the Integrations heading, select Xero
Journals
Once the payroll has been Submitted on pay day, your journal should automatically be sent to your Manual journals in Xero
To find the manual journal, you will need to follow the steps below
- In the Accounting menu on Xero, select Reports.
- Under Accounting, click Journal Report.
- Click Manual Journals, then select the Draft tab
Please note – We post the journal as a draft so you have the opportunity to check it looks as you expect. Once you are happy with it, you will need to post it
Transactions in the Pento Bank Account
If you use Pento to make payments to staff and/or HMRC, the payments are pushed to Xero when the payroll has been Submitted on payday. Once they reach Xero, they should already be reconciled
Important – Only payments made from your Pento bank account are pushed to Xero. Payments made into your Pento bank account are not pushed through to Xero
Frequently Asked Questions
My payments aren't reconciling, why is this?
If there were any errored payments on the payroll i.e. due to incorrect account details, the payments will not be reconciled in Xero. You can check the Payments page on Pento to see if your payments errored. You will need to manually reconcile the payments yourself in Xero.
Additionally, Pento only reconciles payments we have created, for example, net payments to staff and payments to HMRC. Any payments you have created manually will not be reconciled. You will need to reconcile them manually through Xero.
I can't see the reconcile button in Xero, why is this?
