Overview
To date it’s not been possible for customers to export the data we include in our Full Payment Submissions (FPS) to HMRC following each payroll, but we’ve introduced new functionality that allows a CSV version of that data to be downloaded directly in Pento.
Accessing the FPS download function

Go into Payrolls from the navigation sidebar

Click into the relevant Submitted payroll month
Please note – As these submissions only occur once a payroll is completed and validated by HMRC, it’s not possible to download this file for Draft payrolls

Click the button at the top right of the screen to reveal the payroll options

From the list of options you’ll now see Download FPS

Your next action will be determined by the state of the button, which we cover below
Understanding the button states
As the Full Payment Submission (FPS) file has to be validated by HMRC, the download button will show as being in one of two states:

Not clickable
This means the file has been submitted but yet to be validated by HMRC, so we disable the ability to access the file until it’s validated to ensure the data you get out is accurate and correct. This can also be seen by hovering over the button.

Clickable
This means the file has been submitted and validated by HMRC so is therefore accessible for you to download. Once clicked, you’ll receive a CSV file for you to then import into the platform of your choice
Please note – The CSV file will differ slightly to the XML file we send to HMRC. The XML template we use to send this file to HMRC contains a lot of columns but not all are relevant and not all will have information in them dependent on your payroll.
To make the export more useful, the CSV file will only contain columns that has data in it for at least one employee. This means that from month to month, this export may contain more or fewer columns dependent on what columns have data in them in each payroll
